Call Pilot: Voice Mail & Digital Assistant
Northern Telecom's Norstar Call Pilot voice mail units acts as both a repository for employee telephone messages and as your digital receptionist.

Voice mail is a real productivity enhancer for you and your employees. You won't miss an important call if you are away from the office or in a meeting. Other office workers will not have to take time away from their tasks in order to jot down a message on a notepad (and possibly loose it). Further, callers that leave messages in voice mail can take as much time as they need to leave a detailed message rather than suffering the "phone tag" routine when the message is important.

Studies show that callers prefer to leave a voice mail rather than trusting that their message will be delivered by someone they don't know. Also, voice mail provides any size company with opportunity to leave callers with a professional impression.

Automated Attendant and Custom Call Routing

Most office managers feel that it is best for calls to be answered by an employee rather than a machine. However, when that is not possible, for example, at lunch time, during periods of high call volume or after hours, the Automated Attendant (AA) can fill in and answer after a selected number of rings. This gives your staff the opportunity to answer live calls and yet acts as a backup to your reception staff. In the case of after hours calls, of if you prefer the AA to answer all calls instead of your staff, it can be programmed to pick up immediately and play your greeting. A simple example of an AA greeting could be:

"Thank you for calling Acme Insurance Agency. If you know the extension number of the party you are calling, please dial it now, press zero to speak to an operator, or pound for the company directory."

The AA can be programmed to have custom greetings to match the time of day, or holiday schedules. The Call Pilot can even be set up to answer with an alternate language option and has the ability to serve custom greeting messages for up to four different companies, for those who run multiple businesses on the same phone system.

Callers can be given additional paths to reach your staff by the use of Custom Call Routing (CCR). CCR 'trees' can be set up to transfer a caller to an extension, or a whole group of telephone sets (such as a sales department), or an info mailbox (directions to your office and hours of operation for example), or to a deeper level of the CCR tree. The top level of a CCR tree is given after the caller receives the AA greeting. Here is an example:

"Thank you for calling....[the standard company AA greeting plays]. Please choose from one of the following options:

To make an insurance claim, press 1.
To speak to one of our underwriters, press 2.
For directions to our office and our mailing address, press 3."

The caller presses 2.

"For business insurance, press 1.
For home, auto, or life insurance, press 2."

The caller is then transferred to the staff member or departmental group who can best handle the customer.

Upgrade Paths & Automatic Call Distribution

The Call Pilot system can be upgraded in the following increments 1, 4, 8, 16 32, and 64 mailboxes (Call Pilot 100 has a limit of 40 mailboxes).

Automatic Call Distribution (ACD) software makes possible call queuing. This is where a caller is placed on hold and is served in a first-come-first-served fashion. ACD software is ideal for call centers with erratic call volume where it is not economic to hire more staff just for those peak times. The ACD software allows for 2 groups, up to 20 agents and 10 agent login.



Call Pilot 100:

The Call Pilot 100 Voicemail (4 channels, up to 40 Mailboxes, 9 Hours of Storage) unit acts as both a repository for employee telephone messages and as your digital receptionist. Standard feature options include 10 Custom Call Routing levels , 4 CCR trees, dial extension from CCR, external transfer, adjustable line rings before answer, multiple operators, remotely record greeting, remotely set business open/closed, announcement based on calling line ID.
